Website and Forms: Data Protection Act Information Notice

1. Data controller

Data controller under the Law No. 6698 on the Protection of Personal Data (KVKK) Periyodik Muayene Hizmetleri Ticaret Anonim Şirketi(hereinafter referred to as “PMH”).

2. Scope and categories of data processed

PMH may process the following categories of data, depending on the channel you use and the information you share:

  • Identity and contact details: first name and surname, telephone number, email address.
  • Corporate and enquiry details: company name, facility type, province/district, requested inspection, equipment or installation details, and message content.
  • Document and file details: a list of equipment, a report, a table or a visual selected by the user as required.
  • Legal proceedings and communication records: requests, complaints, applications and the responses to them.
  • Technical access details: page visited, referring page, device and browser type, approximate country information, access time and security logs.

Current technical status of the forms

As of 14 August 2026, the quotation and contact forms are active. The information entered into the form, together with any selected files, is forwarded to the relevant corporate email group within PMH’s Google Workspace environment via the form function running on Vercel and the ‘Resend’ email service. Form data is not stored in a separate CRM or form database.

3. Purposes of processing personal data

Personal data may be processed, to the extent relevant, for the following purposes:

  • To assess enquiries and requests for quotations received via telephone or email,
  • to determine the scope of the request, the facility and equipment requirements, and to provide feedback,
  • to conduct pre-service consultations, manage the quotation process and maintain customer relations,
  • to fulfil obligations arising from legislation and to protect legal rights,
  • to ensure website security, error detection and technical continuity,
  • to improve the site using aggregate usage metrics that do not identify individuals.

PMH does not use these channels to send newsletters, advertisements or marketing messages.

4. Legal grounds

Data; depending on the specific processing activity, the fulfilment of a legal obligation as set out in Article 5 of the Personal Data Protection Law (KVKK), the fulfilment of a legal obligation, the establishment, exercise or defence of a right, and the legitimate interests of the data controller, provided that such processing does not infringe upon the fundamental rights and freedoms of the data subject.

Should any new processing operation requiring explicit consent be carried out in the future, a separate explicit consent mechanism, based on free will and provided on a voluntary basis, will be established for that operation.

5. Aggregation method

Data may be collected automatically or by semi-automated means, either through your direct sharing via telephone, email or an active web form, or via technical logs generated by the hosting/security infrastructure whilst you are visiting the site. Vercel Web Analytics generates anonymous and aggregated visitor metrics without the use of cookies.

6. Data transfers and service providers

Data may be shared with the following categories of recipients only to the extent that it is necessary and limited to the purpose:

  • PMH staff and officials, within the scope of their duties and powers,
  • hosting, form submission, technical support, cyber security and corporate email service providers,
  • legally authorised public bodies, courts and enforcement authorities,
  • authorised advisers when it is necessary to establish or protect a right.

The site is hosted on the Vercel platform and utilises Vercel Web Analytics. Form submissions are forwarded to PMH’s Google Workspace accounts via Resend. The processing of technical data on systems located abroad may be involved in these services. Processes involving cross-border transfers are carried out in accordance with the appropriate transfer mechanisms and necessary technical and organisational measures set out in Article 9 of the KVKK.

7. Retention and disposal

Data is retained for the period necessary to fulfil the purpose of processing and in accordance with applicable statutory limitation periods and retention periods. Records of communications or enquiries are planned to be retained for a maximum of two years from the closure of the enquiry, unless there is a longer statutory or contractual requirement. Form submissions may be retained as email records within PMH’s Google Workspace environment during this period; transmission data on Resend is retained subject to the retention period of the plan used. Infrastructure security logs may be retained for shorter periods depending on the service provider’s security and retention settings. At the end of this period, the data is deleted, destroyed or anonymised.

8. Your rights under the KVKK

In accordance with Article 11 of the KVKK, by submitting a request to the PMH:

  • the right to find out whether your personal data has been processed and, if so, to request information,
  • to be informed of the purpose of processing and whether the data is being used in accordance with that purpose,
  • the right to know the third parties to whom your data has been transferred, whether within or outside the country,
  • the right to request the rectification of incomplete or incorrectly processed data,
  • to request the deletion or erasure of data where legally required, and to request that recipients be notified of these actions,
  • to object to a result arising from automated analysis that is unfavourable to you,
  • to claim compensation should you suffer any loss as a result of unlawful processing

you are entitled to.

9. Enquiries and contact details

Applications will be processed within thirty days at the latest, depending on the nature of the request. Only the necessary additional information may be requested for identity verification.
